Product Changes in the Invoice

With the most recent release of StudioCloud there were quite a few updates and changes to StudioCloud.  For a summary of the changes made please see the labs page http://labs.studiocloud.com/studiocloud-beta 

One of the changes that was made affects how the available products, services, and packages are displayed when creating or editing an invoice.  A screenshot is available below to give you an idea of what the new product list looks like.

As you can see in this screen shot there is no longer an option in the list to click on a header and view only the products, services, or packages but rather the default is to "View All Items" which means that products, services, and packages are displayed together.  To distinguish between products, services, and packages when you view them together a [P] has been put in front of product name and a [S] has been put in front of service name.  Packages do not include any notation in front of the name. 

You can change which products, services and packages are visible by changing the price list in the combo box at the bottom of the table.  By default "All Products/Services" are displayed.

At the top of the products table is a combo box that says "View All Items" by default.  If you want to view only products, services, or packages you can do that by changing what is selected in that combo box.

One last thing to make note of is that if you hover your mouse over an item in this list you will get more details including the full description in  a tooltip and you can also still search for a product, service, or package using the search box at the top.

All of these changes were made to accommodate the QTY field that has been added in to this table.  The QTY field is for the inventory management component and we will have more on this in a future post.

The latest major update contained quite a few new additions and changes. We thought we'd give you a quick overview of some of the most important updates below.

• Line Item Discounts
• StudioCloud's invoices now support line item discounts. This means that you can apply a discount directly to a product, service, or package.

• New Security Roles Interface
• The Security Roles section used by EmployeeBoost users has been redesigned to be much more powerful. Now you can setup StudioCloud to only let your employees create invoices and not allow them to edit or delete them. In addition, you can setup StudioCloud to only let your employees view the invoices that they created and not any other employees' invoices. That is just a small sample of what you can do.
• Dymo Label Writers
• StudioCloud now supports printing out labels from a Dymo Label Writer. This allows you to print labels for client information and appointment information.

• LogBook Tracking
• StudioCloud now supports historical tracking of information over time. Using the LogBook you can view what changes were made in StudioCloud, when they were made, and by whom. In addition, you can also view when emails were sent to a client from either StudioCloud or from the CloudAlert email system.

• Disable Auto Sync
• StudioCloud now allows you to disable the auto sync process. This is valuable if you are using an internet connection which charges you per mb.

• Track Canceled Appointments
• StudioCloud now allows you to cancel an appointment rather then deleting it. This allows you to maintain a history of clients that cancel over time. To view the canceled appointments go to the events section in the clients history and click the "View Cancellations" checkbox
• Print Calendar Filter Agendas
• StudioCloud now allows you to print agendas for a specific employee or calendar filter.
• Share CloudStorage File
• StudioCloud now provides the public link so that you can share your CloudStorage files with others. To access the link go to Manage Cloud Storage and click the Share button.
• New Internet Diagnostic Icons
• StudioCloud has added a new internet icon to provide additional information. Previously we only offered a blue icon which meant that you had internet and a red icon which meant that you didn't have an internet connection. We have introduced a new yellow icon which indicates that you have an internet connection but StudioCloud has detected some internet issues with it. If you click on the yellow icon it will provide additional information regarding those issues.
• New Service Health Dashboard
• The new Service Health Dashboard will be updated by StudioCloud if there are ever any issues in our data centers that might affect StudioCloud's syncing process.
• Real Time Scheduling Wizard
• StudioCloud added a real time scheduler to StudioCloud to assist in getting the most accurate schedule as possible. Please note that there are some limitations to the scheduler so make sure you click the "Real Time Scheduling Limitations" button to learn more about those.
• New Cloud Services Item
• To simplify the user interface all of StudioCloud's paid for add-on's have been moved to the Cloud Services section of StudioCloud.

New StudioCloud Features!

The development team has been hard at work to bring you many new and exciting features. The features that have been added to the software allow for more user customization and an overall intuitive experience!

Some of these new features include:

An entirely new customizable PDF invoice! You can change the color of the tables, add file names, insert a personalized message to each invoice, choose which columns to display and more!

Create and email documents and Contracts! With our document generator, you can quickly and easily create document and contract templates that are auto filled when attached to a client, event, or invoice. This new feature will save you extensive time and energy by taking out the tedious step of filling out the information yourself.

New tax reports! These reports are Cash Based and Accrual Based. Some states require tax reports based off cash or accrual, and these two tables will help you depending on your individual state tax requirements.

More import options! You can now import a client list in CSV format with either comma separated or tab delimited, making the switch from a third-party software easier and much more simple.

A new extensive Bookkeeping report! In the Bookkeeping section of StudioCloud, you can easily track your income and expenses. In the new Chart of Categories report, it breaks down and totals each income and expense section to help you stay on target with your business financial goals.

Project and Task alerts! Have you ever missed a deadline for a project? With this new feature, you can rest assured that your projects will be finished on time with new project and tasks alerts that remind you when the project is due.

Request Online ePayments from customers! This feature works hand in hand with your Merchant WareHouse account. If a customer cannot make it to your office to make a payment, simply send them an ePayment request! With this new feature, you can always make sure that your customers pay you on time.

Credit Card Swiping! This new feature allows you to swipe a customer’s credit card directly from your office, eliminating the need for you to manually enter in their credit card information. Working with your Merchant WareHouse account, you can then process the payment and record it in your StudioCloud account.

View your billing history! If you’ve ever wanted to know your billing history with StudioCloud, you can now find that information quickly and easily with this new feature.

Store credit card information! With this exciting new feature, you can store and save a customer credit card information safely with your Merchant WareHouse account. This way, if you need to charge the customer at a later date, you can.

Clock in and out from StudioCloud mobile! This feature allows you or your employees to clock in and out from any location while it automatically tracks your hours back to your StudioCloud account. If you are not using studiocloud.com/m from your phone or other mobile devices, check it out!
